How does outsourcing admin work?

We start with a chat about what your admin pain points are and where things are getting in the way. From there, we agree on the type of support, hours, and how we'll communicate. You grant access to the systems I need to work in (such as email, documents, or accounting software) and I get to work.

I’ll keep you updated on what’s being worked on, so you always know what’s happening without having to manage the details.

Who do you work with?

I work with small businesses and not-for-profits across New Zealand including sole traders, small teams, community organisations, boards, and committees.

My clients are typically capable, busy people who are good at what they do but stretched thin on admin. They're not looking for someone to take over, just reliable support to keep things moving in the background.

If you're a small business owner, tradie, community group, or not-for-profit with admin that's getting on top of you, we're probably a good fit.

How do I know if I'm ready to outsource

If admin is taking up more time and headspace than it should, that's usually a pretty good sign.

You don't need to have everything figured out before getting in touch. Most people come to me when they've hit a point where doing it all themselves is no longer sustainable. A conversation is often all it takes to work out where support would make the biggest difference.

Do you work remotely or on site?

Mostly remotely, but it's not the only option.

I use your existing systems and tools, so distance isn't usually a barrier to getting things done.

For clients where location allows, on-site work is also an option if that suits you better.

And wherever possible, I love meeting up in person. It makes for a much better connection.

How flexible is the support?

Support can be ongoing or short-term, or one-off project, depending on what you need. Services can be scaled up, down, or adjusted as your workload changes. The aim is to provide support that fits your reality, not lock you into something that no longer makes sense.

Is outsourcing admin more cost-effective than hiring someone?

For many small businesses and not-for-profits, yes. Outsourcing gives you experienced support without the additional costs of employing staff, such as wages, leave, equipment, or office space. You only pay for the support you need, when you need. Every hour is 100% productive.

What systems or software do you use?

I work within your existing systems wherever possible — no need to change platforms or learn something new just to work with me.

I'm experienced across a range of tools including Xero (including payroll), MYOB, Google Workspace, Microsoft 365, MailerLite, Mailchimp, Canva, Meta Business Suite, and website platforms like RocketSpark, Wix, and WordPress for content updates.

I work within your processes and preferences rather than imposing new ones, unless we've agreed a change would actually help. You stay in charge of how things run.

How do you keep information and passwords secure?

Confidentiality and security are non-negotiable. I use secure password management tools, and access is always agreed upfront. Sensitive information, including financial records and governance documents stays strictly between us. If you want to know about specific systems or processes, just ask.
